Position Summary: 

Incumbent functions as a lead and specialist knowledgeable in GI supplies and equipment, providing purchasing and inventory management support to the CDDC.  Will build working relationships with vendors and product suppliers and seek opportunities for cost reduction and coordinate in-services.   Will collaborate with central supply to centralize supplies in the CDDC.  Will ensure the quality/accuracy of financial coding and tracking for expenditures.  Duties include maintaining PAR levels, distributing and stocking all procedure rooms, data entry of purchase requisitions, and follow-up on open requisitions and orders, and generating monthly reports on supply usage and PAR levels.  Equipment management includes the tracking of all equipment preventative maintenance and scope repairs.

% Effort

EQUIP_Manages equipment PMs and repairs of equipment.  Follows-up on scope inventory and loaner equipment.



MATL MGMT_Complies with appropriate Purchasing Procedures: classifies, codes, and enters requisitions into AMS and ensures that requisitions are appropriately received and converted to purchase orders, etc.  Participates in physical inventories as required and keeps accurate and orderly inventory documentation



MATL MGMT_Manages inventory to ensure the availability of supplies and equipment, and communicates usage and availability information as appropriate. Appropriately monitors and rotates supplies to prevent expiration and waste, and maintains appropriate PAR levels.  Processes special orders, and provides input on capital equipment purchases, researching to achieve best delivery options. Responsible for distribution and stocking of all procedure rooms.



MATL MGMT_Monitors the financial reporting for inventory in the department.  Ensures appropriate object codes are assigned for very detailed and specific product tracking for expenditures



MATL MGMT_Works directly with the leadership in specific area of supply procurement. Demonstrates strong knowledge of the product supplies and expertise to manage inventory for the department.  Builds effective working relationships with vendors and seeks out opportunities for cost reduction



MATL MGMT_ Coordinates and manages supply chain, ensuring an adequate inventory is available to maintain operations.  Plans, implements, and maintains cost management strategies.  Serves as a department resource for department billing and revenue audit processes.  Participates in budgetary review, analysis and planning as requested.

Required Qualifications:

Ability to coordinate and resolve issues in a timely manner

Ability to maintain a work pace appropriate to the workload

Demonstrated ability to create and produce complex reports using computer programs such as Excel, Access, Word, and Powerpoint

A minimum of three years of demonstrated administrative experience using database software, providing data entry, and generating reports

Must demonstrate customer service skills appropriate to the job

Ability to analyze and summarize data and reports and develop recommendations

Ability to establish and maintain effective working relationships across the HealthSystem

Excellent written and verbal communication skills in English

Must possess the skill, knowledge and ability essential to the successful performance of assigned duties

Minimum 5 years’ experience working in progressively more complex analytical/support roles within a healthcare unit

Demonstrated work experience in progressively more complex roles related to data analysis

Ability or prioritize and manage multiple assignments while successfully adhering to established deadlines

Demonstrated analytical and problem solving skills sufficient to identify needs, conduct research and develop innovative proposals, solutions, and programs


Preferred Qualifications:

Experience monitoring budgets and expenses

Bachelor's degree

Knowledge of University and medical center organizations, policies, procedures and forms

Knowledge of gastroenterology supplies and procedures
